Terms and Conditions

1. Agreement

These terms and conditions govern the provision of photography services by Melbourne Event Photography Co. (ABN: XX XXX XXX XXX) ("we", "us", "our") to the client ("you", "your"). By booking our services, you agree to these terms. To learn more about us, visit our about our team page.

2. Bookings and Deposits

A booking is confirmed once we receive a signed booking form and a non-refundable deposit of 30% of the total quoted fee. The remaining balance is due 14 days before the event date. For bookings made within 14 days of the event, the full amount is due at the time of booking.

3. Pricing

All prices are quoted in Australian Dollars (AUD) and include GST where applicable. Quotes are valid for 30 days from the date of issue. Travel within greater Melbourne is included in all standard quotes for services including wedding photography, corporate event photography and headshot photography. Additional travel fees for regional destinations will be specified in the quote.

4. Cancellations and Rescheduling

Cancellations made more than 60 days before the event date will forfeit the deposit only. Cancellations made within 60 days of the event will incur the full quoted fee. Rescheduling is permitted once at no additional charge, subject to our availability. Further rescheduling may incur an administrative fee.

5. Event Day

We will arrive at the agreed time and location as confirmed in the booking. If the event runs over the booked hours, we may continue coverage at our discretion or by prior arrangement at an additional hourly rate. We require reasonable access to the event, venue, and participants to fulfil our obligations.

6. Image Delivery

Edited preview images will be delivered within 48 hours of the event. The full edited gallery will be delivered within 10 business days via an online gallery with full-resolution download access. The online gallery will remain active for 12 months from the delivery date. We recommend downloading all images within this period.

7. Copyright and Usage Rights

Copyright of all images remains with Melbourne Event Photography Co. under the Copyright Act 1968 (Cth). Upon receipt of full payment, we grant you a non-exclusive, perpetual licence to use the images for personal and internal business purposes. This includes printing, sharing on social media, and use in internal marketing materials. Resale of images to third parties is not permitted without written consent.

8. Portfolio and Marketing Use

We reserve the right to use images from your event in our portfolio, website, social media, and marketing materials unless you notify us in writing before the event date that you do not consent to this use.

9. Liability

We carry public liability insurance and professional indemnity insurance. Our total liability is limited to the amount paid for services. We are not liable for circumstances beyond our reasonable control, including but not limited to venue restrictions, weather conditions, equipment failure despite reasonable precautions, or actions of third parties.

10. Image Editing

All images are edited in our signature style, which includes colour correction, exposure balancing, and selective cropping. We do not provide unedited RAW files. Requests for specific retouching beyond our standard editing process may incur additional fees.

11. Force Majeure

Neither party shall be liable for failure to perform obligations where such failure results from circumstances beyond reasonable control, including natural disasters, pandemic restrictions, government orders, or severe weather events. In such cases, we will work with you to reschedule where possible.

12. Disputes

Any disputes arising from these terms will be governed by the laws of the State of Victoria, Australia. Both parties agree to attempt resolution through good-faith negotiation before pursuing formal legal action.

13. Changes to These Terms

We may update these terms from time to time. The version in effect at the time of your booking will apply to your engagement.
